SMTP settings for any device

The details to enter in printers, business software, alarm systems and any program that sends email with a server, port, username and password.

Every device labels the fields a little differently, but they always ask for the same things. Before you start, create a credential for the device in the dashboard and keep the username and password to hand: the password is only shown once.

The details to enter

Field Value
SMTP server (or outgoing mail server) mail.smtp365.it
Port 587
Encryption STARTTLS (sometimes shown as "TLS")
Authentication On (SMTP AUTH, "server requires authentication")
Username the credential's username, exactly as shown in the dashboard
Password the credential's password
Sender address the address authorised for the credential

smtp365 sends from the Microsoft 365 mailbox via Microsoft Graph, using delegated permissions. You do not need to change SPF, DKIM or DMARC.

Do not use the username and password of your Microsoft 365 account: the device should only use the credential created for it.

Which port to choose

  • 587 with STARTTLS is the recommended choice and requires the device to support STARTTLS.
  • 465 with implicit TLS (often labelled "SSL" or "SSL/TLS") is fine if it is the only option the device offers. The connection is encrypted from the start.
  • 25 may be needed on some legacy devices. It is available only on request and is off by default: it must be enabled in the dashboard for both the mailbox and the individual credential. Many internet providers block outbound traffic on port 25, so check it works before relying on it.

If the device asks you to choose between "SSL" and "TLS" without mentioning the port, "SSL" usually goes with 465 and "TLS" with 587. Always check the model's manual: a simple SSL/TLS switch may select the mode based on the port.

The sender

Each credential can only send from its own address: the address of the connected mailbox or, if you have set one up, a shared mailbox verified with a test message. If the device uses any other address as the sender, the server rejects the message.

Some devices have two separate fields, such as "device address" and "display name". The display name can be anything you like: you could write "Second floor scanner" and recipients will see exactly that.

Sent Items

By default every message appears in the mailbox's Sent Items folder. For devices that only send notifications (alarms, NAS, backups) you can turn this off on the credential to keep the mailbox tidy.

Business software, ERP and custom applications

In business software, the email settings are usually found under names such as "Email parameters", "SMTP configuration" or "Sending account". Enter the same details as in the table. If the program supports several accounts, create a separate credential for each department or function: the sending log will then show at a glance who sent what.

Send a test

Use the device's test function if available. Otherwise, send a scan or a notification to your own address. The sending log in the dashboard shows whether the message was accepted for sending and the reason for any recorded failure. Also check receipt: acceptance does not guarantee delivery.

If the device reports an error

Many devices show the code they got from the server. You will also find it in the dashboard's sending log, next to the message.

535

Invalid credentials

Wrong user or password, or the credential has been disabled. Copy the user and password again from the dashboard: if you no longer have the password, generate a new one. If you use port 25, check that it is enabled for that credential.

553

Sender not allowed

Each credential can only send with its own address. On the device, set the sender to the address of the connected mailbox, or of the shared mailbox you have verified.

454

Mailbox needs reconnecting

Microsoft asked for a new sign-in, for example after a password change. Open the dashboard and reconnect the mailbox: the device credentials stay the same.

451

Limit reached, try again later

Microsoft 365 or the credential's limit slowed sending down for a few minutes. Almost every device retries on its own; if it keeps happening, check the log to see who is sending so much.

552

Message too large

The message exceeds the mailbox limit, usually 35 MB. Lower the scan resolution or format, or split it into several sends.

550

Sending refused

The monthly quota is used up, the subscription is not active, or Microsoft 365 refused the sender. The text next to the code says which: if it is not clear, write to us.

The device cannot connect to the server at all? Check that the office firewall lets the chosen port out and that the device supports encrypted connections: some very old models need a firmware update.
